Who is workflow automation for?

In a large company an awkward process gets absorbed by headcount. In a team of nine it lands on someone who already has a full week, and it stays broken precisely because nobody is spare to fix it. The work still gets done, usually because a person is willing to take it home.
You do not need anyone technical on staff for this. Knowing your own process in detail is the qualification that matters, and you already have it.
Which parts of my week can actually be automated?
The reliable answer is anything with a rule behind it. If you can explain to a new hire when something happens and what to do next, that is a candidate. Chasing a missing form, moving details from an email into a spreadsheet, producing the same monthly summary, sending a reminder three days before something is due.
What does not automate well is judgement. Deciding whether an exception is reasonable, or how to handle an awkward conversation, stays with people. That is usually a relief rather than a limitation, because judgement is the part your team is good at and the copying is the part wearing them down.
What does working with an automation consultant involve?
It starts with watching how the work is done now, in detail, without assuming the current way is wrong. Most processes exist for a reason that was good at the time.
Then we pick the step costing you the most time and hand that one to the system first. You see the hours come back before committing to anything larger. Automating everything at once is how these projects turn into the thing nobody wants to touch.
Will this mean fewer jobs on the team?
That is not usually why people call us. Small teams tend to be short-handed already, and the work is stacking up faster than anyone can clear it.
What changes is what the day contains. The same people stop spending their mornings on data entry and start doing the work you actually hired them for.
How do I know whether it worked?
Because the thing you used to dread stops taking the afternoon. We agree up front on what we are measuring, usually the time a specific task takes or how often something gets missed, and we look at it again afterwards.
If a change does not earn its place, we say so and take it out. Automation that nobody trusts is worse than the manual process it replaced.

- Usually not. Most of this work sits on top of what you already have and connects the gaps between the places your information lives.
- What happens when something goes wrong?
- It tells you, in plain language, rather than failing quietly. Anything that touches money or a deadline is built to raise its hand instead of guessing.
- How small is too small to bother?
- A task that takes ten minutes and happens every day is worth more than one that takes a day and happens once a year. Frequency matters more than size.
