Most of the people we work with are experts at what they do and have no interest in becoming experts in technology. They run specialist professional practices, associations, clinics, schools, agencies, nonprofits, and family businesses with several locations. Often the expertise is licensed, hard won, and decades deep. What is missing is an IT department, or the budget to hire one.

These are the markets large software companies tend to skip. The tools built for them are either stripped down versions of enterprise products, or blank platforms that expect you to build the thing yourself. Both leave you doing work the software should be doing.

It depends on how long you plan to be in business and how many people need access. Subscription costs are easy to underestimate because they arrive monthly and grow quietly every time you add a seat. A custom build is a larger cost once, then a much smaller cost to keep running.

The point where those two lines cross is worth working out before you commit either way. We go through it with you on the first call, and if buying off the shelf is the better answer for your situation, we will say so.

Airtable is genuinely good at what it is for. It gets a team organised quickly, it is pleasant to use, and for a shared list that a few people maintain it is hard to beat. Plenty of the organisations we work with started there and were right to.

You outgrow it in fairly predictable ways. The per-seat cost climbs as more people need access, and someone who only ever reads one screen costs the same as someone who lives in it all day. Permissions get coarse when different roles genuinely should see different things. The rules your process depends on end up spread across formulas, views, and automations that only the person who built them can follow. And when you need it to behave like an application rather than a grid, you are working against the grain of the tool.

A custom build is the better answer when the shape of your work is settled, when the number of people needing access is growing, and when the rules matter enough that they should be enforced rather than remembered. It is the wrong answer while your process is still changing every week. A flexible grid is exactly right for that, and you should keep it until it stops paying for itself.

From there we agree on the smallest version that makes your week easier, build it, and put it in front of you. You use it, we adjust, and the next piece follows. Nothing gets built because it looked impressive in a proposal.

Sooner than most people expect, because we do not build everything before you see anything. The first useful version goes into real use while the rest is still being built, so you feel the difference early instead of waiting on a launch date that keeps moving.

This is the right question, and most people ask it too late. A system only one person understands is a risk no matter who that person is.

Everything we build is documented in plain language, and the system belongs to you. You are not renting access to your own information, and you are not stuck with us to keep it running.
