Who needs database integration?

What breaks when systems are not connected?

Trust, first. When two screens disagree, people stop believing either and go back to asking a colleague, which is slower than the process you were trying to improve.

Then time. Every duplicate entry is a chance for the two records to drift apart, and reconciling them later costs more than entering it correctly once would have.

How does this work across several locations?

The goal is one shared picture with room for local difference. Sites rarely work identically, and forcing them to is how these projects fail.

Something will change eventually, because you do not control those products. Connections are built to notice when the other end stops behaving as expected and to tell you, rather than silently passing along the wrong thing.

Quiet failure is the real danger in integration work. A connection that stops is a nuisance. One that keeps running while the data goes wrong is expensive.

Do we have to move everything into one system?
No. The point is usually the opposite, keeping the tools that work for you and removing the manual copying between them.
Is our information safe while it moves between systems?
It should only ever travel over an encrypted connection, and each system should only be able to see what it genuinely needs. Anyone you hire should be able to explain their approach in plain language.
How quickly do the changes appear?
That is a choice worth making deliberately. Some information should update within seconds, and some is better batched overnight. We decide it per case rather than by default.
